Quote the same specification to everyone

Write the specification once — grade, unit, quantity, delivery location, schedule — and send the identical brief to several verified suppliers. Comparable quotes are the only quotes worth comparing.

Rate agreement, staged delivery

Lock a rate for the project quantity but take delivery in stages tied to the construction programme. You get the volume price without the storage, wastage and cash-flow hit of holding everything on site.

Split critical materials across suppliers

For anything on the critical path, having a second approved supplier is cheap insurance. A single-source arrangement is fine until the day it is not.

Document everything

Rate, specification, delivery window, tolerance on quantity, rejection procedure and payment terms — in writing before the first load. Most procurement disputes are actually documentation disputes.

The takeaway

Standardise the brief, lock rates but stage deliveries, keep a backup supplier for critical items, and document the terms.
